When booking a Room

The guest can cancel the reservation free of charge until the day before arrival at 12:00 noon. Cancellation later than this will incur a fee equal to the total price of the stay and any additional purchases.

Cancellations must be made by email to Info@fakkelgaarden.dk with the subject: CANCELLATION

If the guest fails to arrive for a reservation, Fakkelgaarden will treat this as a cancellation and the reservation will be charged in full.

Changes to reservations are considered canceled if the changes result in a shorter stay or a reduction in the number of rooms. Any additional purchases can also be canceled until the day before arrival at 12:00, after which they will be charged in full.

 

BOOKING OF STAY PACKAGES

When booking a stay package, the price of the stay will be charged to the credit card at the time of booking. This booking cannot be changed or canceled.

 

BOOKING OF TABLES FOR SPECIAL EVENT EVENINGS

When booking our special event nights / theme nights, the guest is entitled to cancel the booking free of charge up to 14 days before the event. After that, the guest is not entitled to a refund.

 

GROUP RESERVATIONS

For reservations of 4 rooms or more, the following cancellation rules apply:

• Up to 12:00 noon, 8 weeks before arrival, guests can cancel up to 100% of the reservation free of charge.
• Up to 12:00 noon, 4 weeks before arrival, guests can cancel up to 50% of the reservation free of charge.
• Up to 12:00 noon, 7 days before arrival, guests can cancel up to 25% of the reservation free of charge.
• Up to 12:00 noon on the day before arrival, guests can cancel up to 10% of the reservation free of charge.
• For cancellations after 12:00 noon on the day before arrival, the reservation will be charged in full.

 

ARRIVAL

Rooms are available from 3.00 p.m. on the day of arrival.

 

DEPARTURE

Rooms must be vacated by 11.00 a.m. on the day of departure.

If the room is vacated later than the above times, Fakkelgaarden may charge for an extra night’s stay.

 

LIABILITY FOR DAMAGES

Both the guest and Fakkelgaarden are obliged to comply with the reservation agreement.

However, in the event of force majeure and force majeure-like situations, Fakkelgaarden cannot be held responsible for cancellation without notice. Force majeure means extraordinary circumstances that are beyond the direct control of Fakkelgaarden, including fire, water damage, strike / lockout, and illness in the staff.

Any compensation in connection with non-compliance with the agreement in all cases other than force majeure cannot exceed the total price of the reservation and any indirect losses, such as loss of profit, will therefore not be covered.

 

VALUABLES/STORAGE OF LUGGAGE ETC.

Fakkelgaarden cannot be held responsible for the loss or theft of valuables/luggage in rooms, in the restaurant or in other areas of the hotel.

 

LOST PROPERTY

Valuables and/or luggage left or forgotten in rooms and hotel areas are stored for 3 months after departure. Items can be forwarded against payment of a handling fee of DKK 100, – and shipping costs.

 

PARKING

Fakkelgaarden cannot be held responsible for vandalism or theft of/from parked vehicles on hotel premises.

 

CLEANING

Rooms are cleaned daily between 11 a.m. and 2 p.m.

Fakkelgaarden is entitled to refrain from cleaning if cleaning is made difficult by luggage or other items belonging to the guest. For stays of longer than three days, bed linen is changed as needed.

 

CONFERENCES & LARGER EVENTS

A reservation fee must be paid for all booked events.

The event will be confirmed upon payment of the reservation fee.

DKK 5,000, – For smaller groups (20-35 people)

DKK 10,000, – For larger groups (35+ people)

 

The entire conference/event/ including rooms and premises: the event can be cancelled without charge up to 3 months before arrival. If this is done after this deadline, Fakkelgaarden will charge 50% of the agreed price.

If the conference/event is cancelled less than 30 days before arrival, 100% of the confirmed arrangement must be paid.

Final details regarding the number of attendees must be communicated no later than 7 days prior to the event.

However, in the event of force majeure and force majeure-like situations, Fakkelgaarden cannot be held responsible for cancellation without notice. Force majeure means extraordinary circumstances that are beyond Fakkelgaarden’s direct control, including but not limited to fire, water damage, strike/lockout, and illness among staff.

Reservations are subject to government intervention in the hotel industry, such as tax changes or the like, which entitle the hotel to corresponding price increases.

For private parties such as birthdays, weddings, etc. The party organizer is obliged to compensate for any damage caused to the hotel’s inventory. This can be done through their insurance or other means.

All prices are total prices including VAT, service, and environmental surcharge.

A fee is charged for credit card payments in accordance with applicable law.

 

GIFT VOUCHERS

Gift vouchers purchased from Fakkelgaarden Hotel and Restaurant are valid for 3 years from the date of issue in accordance with the Danish Sale of Goods Act. There is also a full 14-day right of return on purchased gift vouchers.

Thereafter, the value of a gift voucher can always be used when ordering our products and services.

If you do not use the entire amount when redeeming the voucher, you will receive the remaining amount on a new gift voucher.

(The expiry date will remain the original one).

Gift vouchers cannot be exchanged for cash. It is not possible to exchange your gift voucher for a new gift voucher.

Your gift voucher is a bearer instrument. This means that the gift voucher cannot be replaced if you lose it. The person who is in possession of the gift voucher will always be the one who can redeem it. Gift vouchers can be equated to cash, which cannot be replaced if lost.
